Scanning Outbound Items

You can keep a record of all the items going out from the mailroom by scanning them using the 'Outbound' mode

Scanning Outbound Items

The items going out from the mailroom can be checked into the app before being handed over to the courier and subsequently checked out.

Follow the steps below: 

  1. Tap on the Camera icon. 

  2. Switch the scanning mode to Scan Outbound and scan the items by tapping on the capture button.

Complete Section

When the app has successfully picked up the name of the recipient who wants to send an item out of the building, it will move the item to the complete section.

Follow the steps below: 

  1. Tap on the package to Edit the package details like adding NotesLabels, or Location.
  2. Click on Notify to check-in the package at the mailroom and notify the recipient that the item has been accepted at the mailroom.

Scan Issues

Follow the steps below: 

  1. Tap on the Scan Issues tab. 

  2. Tap on the Item.

  3. Assign the item to a recipient based on the Suggestions or search for a recipient to assign them the item.

  4. Click on Notify to check in the item to the mailroom.

Checking Items out of mailroom

Items can be checked out of the building when the representative of the courier arrives at the front desk to pick up the items. All items that are scanned using the outbound mode can be accessed under the outbound tab in the 'Items' section.   

Follow the steps below: 

  1. Move into the Items section of the app and move into the Outbound tab. 

  2. Enter the Courier name in the Search bar whose representative has arrived.

  3. Check Out each package individually or click on Select to check-out multiple items at once.

  4. Tap on Dispatch to acquire the courier representative’s Name and Signature, or capture their image to dispatch the item from the building.

An email notification will be sent to the recipient informing them that their item has been successfully dispatched from the building.
